This is a pivotal opportunity to support the Executive of a respected not‑for‑profit organisation committed to meaningful social impact. In this role, you will operate as a trusted partner to the Executive, enabling strategic focus, organisational clarity, and strong governance across the organisation.
You’ll anticipate needs, bring calm to complexity, and ensure a seamless experience for internal and external stakeholders. You will assist in coordinating Board processes, managing governance documentation, and playing a central role in supporting the organisation’s mission-driven work.
Your contribution will directly enable the Executive to focus on what matters most—clients, people, community impact, and organisational growth.

Key Responsibilities
Executive Support
- Manage complex calendars, inboxes, priorities, travel, and expenses
- Provide executive-level support including briefings, correspondence, and meeting preparation
- Protect the Executive's time, ensuring readiness, clarity, and efficiency
- Coordinate meetings, which may include Board and committee scheduling, logistics, agendas, packs, and minute-taking
- Oversee preparation, collation, and quality assurance of Documents
- Ensure adherence to governance standards and regulatory obligations
- Track actions and ensure follow‑through
- Build trusted relationships with clients, partners, senior leaders, and external stakeholders
- Handle sensitive matters with professionalism, discretion, and high emotional intelligence
- Track milestones, deadlines, and deliverables across organisation-wide initiatives
- Maintain templates, files, and light CRM updates
- Prepare polished correspondence and professional documentation
- Spot issues early, propose solutions, and remove roadblocks before they appear
- Manage confidential information with absolute discretion and integrity

You offer:
- Experience supporting a Managing Director, Partner, Principal, or senior executive— within a not‑for‑profit, charity, or purpose‑driven organisation
- Strong experience supporting Boards and preparing high-quality Board papers
- Excellent written and verbal communication skills
- Highly developed emotional intelligence and relationship‑building skills
- Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and document management systems
- A proactive, structured, solutions-focused approach
- High levels of professionalism, discretion, and attention to detail
- Knowledge of corporate governance frameworks and compliance requirements
- Familiarity with client service or deadline-driven environments
- Experience with CRM or practice management systems
- Australian citizenship or permanent residency with full work rights is required.
- NSW Driver’s Licence
- Working with Children Check
- National Police Check (within 3 months)
- NDIS Worker Screening and Orientation Module
